Job Description

  • Coordinate office activities and operations to secure efficiency and compliance to company policies.
  • Supervise administrative staff and divide responsibilities to ensure performance.
  • Manage agendas/travel arrangements/appointments etc. for the upper management.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.).
  • Support budgeting and bookkeeping procedures.
  • Create and update records and databases with personnel, financial and other data.
  • Track stocks of office supplies and place orders when necessary.
  • Submit timely reports and prepare presentations/proposals as assigned.
  • Assist colleagues whenever necessary.
  • Dealing with email enquiries.
  • General office management such as ordering stationary.
  • Provide prompt and accurate feedback to customers.
  • Diary management and arranging clients appointments.
  • Providing administration support to Sales Reps, Property Managers and Senior Management.
  • Ensure all issues are properly logged.

  • Office Management:Efficiently manage office operations, including scheduling, organizing meetings, and maintaining office supplies.
  • Communication:Excellent written and verbal communication skills, with the ability to handle correspondence, answer phones, and interact with clients and colleagues.

  • Time Management:Ability to prioritize tasks and manage time effectively to meet deadlines and handle multiple responsibilities.
  • Customer Service:Providing high-quality service to clients and visitors, addressing inquiries, and resolving issues professionally.
  • Data Entry and Management:Accurate and efficient data entry, including managing databases, spreadsheets, and other office systems.
  • Scheduling:Proficiency in managing calendars, arranging meetings, and coordinating travel arrangements.
  • Office Software:Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and other productivity tools.
